Race Coordinator

Reporting to the volunteer Race Committee, the Race Coordinator plays a crucial role in the organizing and success of the annual Yukon River Trail Marathon (YRTM). The Coordinator leads logistical planning, organizes volunteer recruitment and management, sources and obtains athlete swag, medals and awards, athlete food, and leads promotion of the annual event. The Coordinator is also the Race Coordinator on race day (the first Sunday of August).
The Coordinator is the consistent link for members of the community, businesses, and athletes to ensure the smooth running of the Yukon River Trail Marathon.
The Coordinator works from January/February to August, including the first weekend of August to prepare for, and host, the Yukon River Trail Marathon.
Responsibilities and Duties

  1. Logistical Planning: attend monthly Race Organizing Committee Meetings. Request, confirm and communicate regarding venue rental with City of Whitehorse, including ensuring appropriate access to water and other required resources. Organize truck rental for race weekend. Ensure trailer inventory meets race requirements, including reviewing with the Race Committee leads to assess needs. Organize aid station supplies, equipment for the park, course, and timing logistics.
  2. Logistics on Race Day: coordinate volunteers, ensure all supplies are present, assigned to the appropriate person, and set up appropriately for race day, including aid station supplies, park equipment, sound system, and timing. With the assistance of present Race Committee members, trouble-shoot logistical issues on race day.
  3. Volunteer Recruitment and Management: work with the Race Committee to determine needs for volunteer roles, prepare and operate the online registration system ensuring accuracy. Develop and enact a volunteer recruitment strategy. Maintain communication with volunteers, prepare materials for race day, plan and host the volunteer celebration and briefing. Work with the Volunteer Coordinator on race day to lead volunteers and ensure tasks are being properly performed.
  4. Athlete Support: make recommendations, source, and order in-kind sponsor for athlete shirt design. Purchase medals, awards, and ribbons for Kids Run.
  5. Food:
    Organize on-course athlete snacks and post-race food and drinks, including obtaining required food permits, and ensure race-day process meets permitting requirements.
  6. Promotion:
    create engaging content and maintain YRTM social media pages to keep participants updated about the event (registration process, course updates, safety information, sponsor recognition, race weekend logistics, etc), and assist with updating the website as needed.
  7. Quality Improvements: work with the Race Committee to identify areas for improvement for the current year and future races. Assess current processes to find efficiencies and improvements. Identify opportunities to make the YRTM more reflective of the land we live on, and highlight ways to integrate Indigenous ways of knowing and doing in the event and processes.
