DNDC is seeking an experienced Office Coordinator to support daily office operations and providing senior level support across the DNDC Group of Companies. This central role helps improve efficiency, streamline processes, coordinate communication, and ensure smooth internal operations.
This is an office-based position working out of Whitehorse, Yukon.
What You’ll Do:
This summary does not represent an exhaustive list of all duties and responsibilities:
- Manage daily office operations, visitor support, communications, mail, and supply inventory.
- Provide administrative support including scheduling, travel arrangements, and document preparation.
- Process invoices, expenses, purchase orders, payroll inputs, petty cash, and support administrative finance and HR tasks.
- Coordinate meetings: scheduling, agendas, minutes, materials, and action‑item follow‑up.
- Maintain accurate data entry, filing systems, records, and databases; ensure confidentiality and compliance.
- Serve as the first point of contact for Office 365/Teams/SharePoint user questions.
- Draft, proofread, and edit correspondence and reports.
- Deliver professional customer service to internal and external stakeholders; resolve and escalate issues as needed.
- Perform other duties as assigned.
Who You Are:
- Certificate or diploma in Office Administration, Business Administration, or related field; bachelor’s degree an asset.
- 3+ years of progressively responsible administrative experience, including senior level support.
- Experience supporting multiple managers and coordinating across affiliated entities or portfolios.
- Exceptional planning, prioritization, and follow‑through; thrives in dynamic, multi‑stakeholder environments.
- Ability to manage multiple tasks at the same time, demonstrating the ability to prioritize and change as needed.
- Strong written and verbal communication; professional, approachable, and service‑oriented.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint/OneDrive).
- Demonstrates strong judgement, maintains confidentiality, and exhibits exceptional attention to detail.
- Experience handling routine financial and HR administration tasks.
- Adaptability and willingness to learn new tasks and technologies as required.
- Possess a valid driver's license.
Working Conditions & Physical Requirements:
- Office‑based with regular outings to local businesses.
- Attending occasional off‑site meetings or community/stakeholder events.
- Periodic after‑hours coordination may be needed for urgent matters or travel schedules.
