Job Summary:
We seek a highly organized and proactive Executive Assistant (NOC 12100) to provide comprehensive administrative support to our executive team. The successful candidate will play a crucial role in managing schedules, coordinating meetings, and handling confidential information, ensuring the smooth operation of the executive office.
Key Responsibilities:
- Calendar and Meeting Management:
 - Manage and maintain executive schedules, including organizing meetings, appointments, and travel arrangements.
 - Prepare agendas, minutes, and follow-up actions for meetings.
 - Administrative Support:
 - Draft, review, and edit correspondence, reports, and presentations on behalf of the executive team.
 - Handle incoming and outgoing communications, ensuring they are prioritized and addressed appropriately.
 - Event Coordination:
 - Plan and coordinate events, conferences, and business meetings, including booking venues and managing logistics.
 - Confidentiality and Records Management:
 - Maintain and safeguard sensitive and confidential information.
 - Organize and maintain electronic and physical filing systems.
 - Liaison Role:
 - Act as the point of contact between the executive team and internal/external stakeholders.
 - Build and maintain professional relationships with clients, vendors, and partners.
 - Project Assistance:
 - Support special projects by conducting research, preparing reports, and ensuring deadlines are met.
 - Monitor and report on project progress.
 
Qualifications and Skills:
- Education and Experience:
 - Bachelor’s degree required (any field of study is acceptable).
 - Demonstrable experience as an Office Administrator or similar role is required.
 - Minimum of 2 years of experience in a role providing executive-level support.
 - Technical Skills:
 - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
 - Familiarity with project management and collaboration tools is an asset.
