Administrative Assistant

The Plumbineers Plumbing and Heating Yukon Inc. is looking for an Administrative Assistant to join our Whitehorse team!

Result Statement:
Excel as a professional Administrative Assistant for The Plumbineers as you assist the day to day operations and support the Office Managers. This is achieved by a self starter who can work well in team environments while using progressive thinking, compliance, and accuracy in their core responsibilities - clerical duties, customer relations, and supporting tasks. They will be required to have diligence with attendance, and a drive to meet deadlines.

Responsibilities:
Primary:
Price work orders
Accurate and timely receipt keeping
Review and transcribe employee timesheets
Maintain email inbox
Process client payments
Document digitization, online and physical filing
Upkeep and proper use of business systems including but not limited to:

  • Trackers
  • SOPs
  • Forms

The development and online publications of social media advertising
Ensure a clean and clutter free workspace and common areas

Supporting Tasks:
Assist with answering customer/public inquiries via email and telephone
Assist with maintaining Plumbers scheduling app.

  • Assist with project tracking and coordination
  • Communicate, provide, exchange, and verify information to necessary staff to allow them to complete daily tasks

Assist with permitting for plumbing and heating work
Assist with creating client invoices and estimates in QuickBooks
Assist with office operations including resources and supplies, licenses, subscriptions, equipment, insurance, and compliance

Requirements:
Be legally entitled to work in Canada/Have a valid work permit for 2+ years
High school diploma
Hold a current Class 5 Drivers License
2+ years work experience in office setting
Excellent English written and verbal communication skills
The ability to lift objects 20+ lbs

A candidate with experience in scheduling, permitting, and/or QuickBooks would be considered an asset.

Hours and Compensation:
The Plumbineers offer competitive wages based on knowledge and experience. We provide all permanent full time employees with Extended Health Benefits, as well as an annual bonus, and additional wages for after hours phone.

Normal working hours are Monday to Friday, 7:30am to 4:30pm with an hour lunch.
+ Primary handling of after hours phone (cell service required)
