Do you have experience with project management and/or logistics for sport events? The Yukon River Trail Marathon (YRTM) is looking for a Logistics Coordinator for our 2025 race, scheduled to take place on Sunday August 3. Working closely with the Race Organizing Committee, the Logistics Coordinator is responsible for preparing and delivering all race day logistics. This short contractor position receives an honorarium.
Below is an overview of the Logistics Coordinator’s responsibilities.
June & July
- Attend Race Organizing Committee (ROC) meetings.
- Prepare a park layout for race day.
- Meet with the City of Whitehorse Parks and Rec staff in advance of race day.
- Ensure the trailer is safe to use and review all equipment in the trailer: everything is in working order and in sufficient supply.
- Create a complete overview of equipment needs for all aid stations / volunteer locations–the YRTM ROC has documentation from past years.
Thursday July 31
- Attend the Volunteer Briefing, approximately 6-7pm.
Friday August 1
- Pick up the rental truck.
- Pick up supplies as some locations are closed on Saturday.
Saturday August 2
- Pick up the trailer from Philmar and secure spot for trailer in Rotary Park.
- Rinse all jugs.
- Fill water.
- Fill gatorade.
- Assemble station packages.
Sunday August 3, approx. 6:30am-4pm (race day)
- Erect banners at start.
- Set up the sound system.
- Arrange for delivery and/or deliver signage on course.
- Pass out station packages and help set up aid stations.
- Be available to problem solve any logistic problems called in by volunteers on course.
- Ensure volunteers return all equipment to the park at the end of their shift. Pick up equipment (signage etc.) from the course at the end of the day.
Sunday late afternoon and/or Monday August 4 (depending on availability)
- Clean all equipment, including water and gatorade jugs.
- Pack trailer.
- Return trailer to Philmar.
- Return truck.
In the week after August 3
- Write a report for the ROC: what went well, suggestions for future years, etc.
- Attend the post-race briefing with the ROC.
The Logistics Coordinator must have a valid driver’s license and a clean driving record.
