Procurement & Logistic Officer

SECTION 1: GENERAL SUMMARY
ALX Exploration and Mining Supplies is seeking a detail oriented and proactive individual to serve as a Procurement Officer. This role is primarily responsible for sourcing and purchasing products, securing favorable pricing and organizing the timely delivery of materials. The ideal candidate will have experience in purchasing or supply chain management, enjoys working in a fast-paced environment and has strong communication skills.
SECTION 2: PRINCIPAL DUTIES AND RESPONSIBILITIES
Procurement

  • Purchase Orders: Issue purchase orders in a timely manner to replenish stock and fill customer demand using Spire (our inventory and accounting program). Verify pricing against invoices, disputing any discrepancies and working with vendors to have credits processed. Maintain and track all issued purchase orders, following up with vendors to ensure that materials are shipped in a timely manner.
  • Sourcing: Maintain current vendor relationships, as well as identify new vendors and materials as alternatives for stock inventory to overcome supply chain issues or achieve lower pricing. Issue Request for Quotes to various vendors to secure favorable pricing and lead times.
  • Logistics: Ensure that all purchase orders are shipped using the most cost-effective means, negotiating pricing with carrier and 3PL companies and monitoring shipments to ensure on-time delivery. Organize more complex logistical scenarios, including multi-stop trucking routes and specialized freight requirements. Verify all freight invoices to ensure pricing is as quoted, working with the carriers to resolve any discrepancies.
  • Sales Support: provide the sales department with the necessary information to prepare quotes, including up to date product costs, freight estimates, and accurate lead times.

Inventory Management

  • Year-End Inventory: Participate in the year-end inventory process, working with management to ensure an accurate count is performed and assisting with discrepancy reconciliation.
  • Stocking Level Evaluation: Review the reorder points for stocked inventory, providing management with evaluation and suggestions. Continually evaluate stocked inventory to reduce product loss, improve product availability for customers, and manage overall inventory value to maximize efficiency and profitability.
  • Updating Pricing: Maintain accurate pricing in Spire, requesting updated price lists and working with management to evaluate margins and cost changes.

Reporting

  • Rebate Reporting: Utilizing Spire and Excel, create monthly rebate reports for managements review and approval. Work with vendors to have these rebates processed and track these submissions to ensure credits are provided in a timely manner.
  • Inventory Adjustment Report: Generate a monthly “Inventory Adjustment Report” to be presented to management for review and consideration; the goal of this report being to guide process development to reduce inventory discrepancies and the need for inventory adjustments.
  • Open Purchase Order Report: Generate a monthly “Open Purchase Order Report”, examining all open purchase orders. Working with various team members, close off PO’s as required and communicate any discrepancies or issues that need to be resolved.

Non-Primary Department Support

  • Administration: On an as needed basis and during peak periods, assist with administrative duties including answering ALX’s general phone line, processing credit card payments, creating sales order and working with walk in customers to provide products that meet their needs.
  • Warehouse: On an as needed basis and during peak periods, assist the warehouse team by providing the second count on picked orders, completing paperwork for customer pickups, and assisting in any shipping and receiving duties as required.

SECTION 3: REQUIREMENTS
Requirements

  • Fluency in English.
  • Ability to work under pressure with deadlines.
  • Familiarity with Excel, advanced knowledge considered a significant asset.
  • Familiarity with statistical analysis and thinking considered a significant asset.
  • Ability to communicate confidently with vendors and customers.
  • Previous experience in the mining sector will be considered an asset.
  • Bachelor’s degree in any related field OR 2+ years work experience in a similar role will be considered an asset.
