Executive Assistant Position

Position Overview: We are seeking a highly organized and proactive Executive Assistant to provide high-level support to the owner of Boreal Clinic. The ideal candidate will possess exceptional organizational skills, the ability to manage multiple priorities, and strong communication capabilities. This role is critical in ensuring the smooth clinic operation by handling day-to-day administrative tasks, managing schedules, and assisting with verbal and written communications.
Key Responsibilities:
Schedule Management:

  • Manage and maintain the clinic owner’s calendar, including scheduling meetings, appointments, and events.
  • Anticipate and address scheduling conflicts, ensuring the clinic owner’s time is used efficiently.
  • Provide daily and weekly updates on upcoming priorities and deadlines.

Communication and Correspondence:

  • Act as the primary point of contact for communications on behalf of the clinic owner.
  • Draft, proofread, and edit emails, letters, presentations, and reports.
  • Screen and respond to phone calls and messages, prioritizing urgent matters.

Administrative Support:

  • Organize and maintain files, records, and other documentation.
  • Prepare meeting agendas, take minutes, and follow up on action items as needed.
  • Process expense reports and track budgets.

Project Management:

  • Assist with planning, coordination, and execution of special projects and initiatives.
  • Conduct research and compile information to support decision-making.
  • Monitor project timelines and provide regular updates to the clinic owner.

Relationship Management:

  • Build and maintain positive relationships with clients, partners, and team members.
  • Represent the clinic owner in meetings and interactions with professionalism and discretion.
  • Handle sensitive and confidential information with the utmost integrity.

Qualifications:

  • Exceptional organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant tools.
  • Strong problem-solving skills and a proactive approach to challenges.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Discretion and professionalism when dealing with confidential information.
  • Bachelor’s degree in business administration or a related field is preferred but not required.
  • Experience as an Executive Assistant, Personal Assistant, or in a similar administrative role preferred.
