Elders/Youth Council Administrative Assistant

Job Summary:
Reporting to the Executive Manager, this position provides administrative and research services to the Executive Elder and Elders/Youth Council in carrying out their responsibilities as outlined by Teslin Tlingit Council (TTC) Constitution.
Main Duties & Responsibilities:
1. Provides a wide range of secretarial and administrative support to the Executive Elder and initiates and provides the Elders/Youth Council with:

  • maintaining an up-to-date list of TTC Elders/Youth
  • providing administrative and secretarial support e.g., word processing correspondence, memorandums, documentation and reports from written and /or oral instruction the ability to write effective letters and reports on varied subjects and topics, as requested; develop action list for Elders council, from monthly meetings, do follow up of action list to TTC Executive and other bodies
  • working within an annual budget
  • coordinating and co-chairing meetings for the Elders/Youth Council
  • establishing an agenda and background information packages prior to meetings
  • taking and transcribing minutes
  • setting up and maintaining a filing system
  • maintaining calendar for Executive Elder and Elders/Youth Council
  • arranging travel and processing travel claims
  • arranging honorarium payments and tracking payments when required
  • providing transportation to Elders with TTC vehicles to Elders Council meetings

2. Other related duties:

    • writing proposals as required
    • attending other Elder related meetings
    • providing the lists of Elders assigned by Elders Council to sit on various committees

    Education & Experience:

    • minimum of 5 years of experience working in an office setting
    • knowledge of the Tlingit Clan system and the TTC political structure
    • good judgement in prioritizing matters, which need to be brought to the attention of the Executive Elder and/or the Elder’s Council
    • knowledge of TTC history, culture, demographics, goals and aspirations
    • ability to speak and understand Tlingit (desirable)
    • ability to coordinate and facilitate meetings
    • excellent oral communication skills and well-developed written skills

    Conditions of Employment:
