We are seeking a detail-oriented and organized Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting the smooth operation of our preschool program. You will be responsible for handling administrative tasks, maintaining records, assisting with enrollment processes, and providing excellent customer service to parents and staff. The ideal candidate will have strong organizational and communication skills, as well as a passion for working in an educational setting.
Job Requirements:
. Education and Experience:
- Post Secondary Diploma or equivalent
- Previous experience in an administrative role, preferably in an educational or childcare setting (preferred)
. Knowledge and Skills:
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Proficiency in using computer software, including Microsoft Office Suite (Word, Excel, PowerPoint) and email applications
- Ability to handle confidential information with discretion
- Excellent written and verbal communication skills
- Ability to multitask and prioritize tasks effectively
- Friendly and professional demeanor with the ability to provide exceptional customer service
Physical Requirements:
- Ability to sit, stand, and move around for extended periods of time
- Ability to lift and carry objects up to 25 pounds
Responsibilities:
- Greet and assist parents, visitors, and staff in a friendly and professional manner
- Answer phone calls, take messages, and respond to inquiries
- Maintain and update student records, including enrollment forms, attendance records, and emergency contact information
- Assist with the enrollment process, including collecting and processing applications and required documents
- Coordinate and schedule meetings, appointments, and events
- Manage office supplies and inventory, and place orders as needed
- Perform general administrative tasks, such as filing, photocopying, and data entry
